Automation mistakes don't just waste time — they create invisible problems that compound until they explode.
Here are the seven mistakes I see most often, and how to avoid them.
Mistake 1: No Error Handling
What happens: Your workflow hits an API that's down. The whole thing crashes. You don't find out until someone complains.
Why it's common: Error handling isn't glamorous. The workflow "works" in testing, so you ship it.
How to fix it:
Every workflow should have explicit error handling:
- Try/Catch pattern: Wrap risky operations (API calls, external services) in error handlers
- Fallback paths: What should happen when things fail? Send an alert? Retry? Log and continue?
- Error notifications: At minimum, get notified when workflows fail
The extra 10 minutes adding error handling saves hours of debugging later.
Mistake 2: Hard-Coded Values Everywhere
What happens: You hard-code an API key, a recipient email, a threshold value. Later, when things change, you have to hunt through every workflow to update them.
Why it's common: It's faster to just type the value directly than to set up variables.
How to fix it:
- Use environment variables for API keys, URLs, and credentials
- Use configuration nodes at the start of workflows for business logic values
- Name things clearly:
SLACK_CHANNEL_SALESnot just the channel ID
When values change (and they always change), update once instead of everywhere.
Mistake 3: Building Without Testing Incrementally
What happens: You build a 20-node workflow, run it, and get an error somewhere in the middle. Now you're debugging the entire chain.
Why it's common: Building feels productive. Testing feels like interruption.
How to fix it:
- Run after every 2-3 nodes to verify data is flowing correctly
- Use the execution preview to see data at each step
- Build linearly first before adding branches
- Save working versions before making big changes
The 30 seconds of testing per node saves 30 minutes of debugging per workflow.
Mistake 4: Ignoring Rate Limits
What happens: Your workflow hammers an API with 1000 requests in 10 seconds. The API blocks you. Entire workflow fails.
Why it's common: Rate limits aren't obvious until you hit them. Small-scale tests don't reveal the problem.
How to fix it:
- Check API documentation for rate limits before building
- Use Split In Batches nodes to process items in chunks
- Add wait nodes between API calls when needed
- Implement exponential backoff for retries
Production data volumes are different from test data volumes. Design for production.
Mistake 5: No Idempotency
What happens: Your workflow runs twice by accident. Now you have duplicate records, duplicate emails, or duplicate charges.
Why it's common: It's easy to assume workflows run exactly once. They don't always.
How to fix it:
- Check for existence before creating records (does this contact already exist?)
- Use unique identifiers to prevent duplicates
- Design for re-runability — running twice should give same result as running once
- Log processed items so you can skip already-processed data
Idempotent workflows are safe workflows.
Mistake 6: All-or-Nothing Processing
What happens: You process 100 items. Item 47 fails. The whole batch fails, including the 46 items that were fine.
Why it's common: It's the default behavior. Processing items in a loop stops at first error.
How to fix it:
- Handle errors per item, not per batch
- Continue on failure when appropriate (log the error, process the rest)
- Separate success/failure paths for different downstream actions
- Report at the end which items succeeded and failed
A batch with 99/100 successes is better than a batch with 0/100.
Mistake 7: No Monitoring or Alerting
What happens: Your workflow fails silently. No one knows until the downstream effect becomes obvious — days or weeks later.
Why it's common: Monitoring feels like overhead. The workflow works, so why add more complexity?
How to fix it:
- Log executions to a central place (spreadsheet, database, monitoring tool)
- Set up failure alerts — Slack message, email, SMS for critical workflows
- Track success metrics — expected vs actual execution count
- Create dashboards for important workflows
You can't fix what you can't see. Visibility is not optional for production workflows.
The Meta-Pattern
Notice something? Most of these mistakes share a root cause: optimizing for build speed over run reliability.
Building fast feels productive. Adding error handling, testing, monitoring — it feels like overhead that slows you down.
But automations are infrastructure. They run for months or years. The build time is a tiny fraction of the total lifecycle. Time spent making them robust pays off exponentially.
The Checklist
Before deploying any workflow to production, check:
- [ ] Error handling exists for external calls
- [ ] Configurable values aren't hard-coded
- [ ] Each node has been tested individually
- [ ] Rate limits have been considered
- [ ] Running twice won't cause duplicates
- [ ] Individual item failures won't crash the batch
- [ ] You'll know when it fails
This takes 15-30 minutes per workflow. It saves hours of firefighting.

The difference between amateur and professional automation isn't cleverness. It's reliability.
